General Statement

MSU Extension improves the lives of Montana citizens by providing unbiased research-based education and information that integrates learning, discovery and engagement to strengthen the social, economic and environmental well-being of individuals, families, and communities. MSU Extension’s Distribution Center serves as the central book store for MSU Extension, providing educational resources, marketing items and merchandise for Extension faculty and staff as well as Extension clientele.
This position is responsible for managing store inventory, ensuring that inventory is well organized, in the appropriate location and all items are accounted for. Responsible for order fulfillment & shipping, the printing of “print-on-demand” publications and ordering supplies as needed. Provides general administrative support and customer service as required. This person reports to the Distribution Center Coordinator.

Duties and Responsibilities

INVENTORY MANAGEMENT
Manage In-House and Storage Inventories

  • Ensure that adequate stock of publications is on hand for order fulfillment.
  • Keep accurate and detailed records of inventory records in our online store database. Includes information such as shelf location, inventory amounts, printing history etc.
  • Responsible for conducting a complete hand count inventory of all publications at a minimum of twice yearly. This inventory is conducted in June and in December and at other times if needed. This includes our off site storage facility, ensuring all boxes are in the proper location.
  • Coordinate with MSU Facilities services to bring inventory to our office from our off site storage location. Assisting at the storage unit as needed to locate missing boxes. There are times when it is necessary to go and get boxes without the help of facilities services if inventory is needed with little notice. Some boxes may be located on some of the higher shelves and weigh between 15 and 50 pounds.
  • Prepare boxes of publications for storage location, included packing and labeling and coordinating with facilities services to take to storage. May include moving heavy boxes to pick up location.
    Stock, Organize and Clean In-House and Off Site Storage
  • Ensure that all shelves are organized and clean. Requires rearranging shelf locations on a regular basis to allow for new stock and discontinued items. This involves:
    - Moving large amounts of materials to new shelf locations, often 100 or more different titles at one time.
    - Ensuring all publications are rubber banded in the proper quantities.
    - Removing old shelf labels, and creating new ones. This involves scraping off the old ones, and using adhesive removers.
    - Moving any associate overflow stock to the new location.
    - Reassigning shelf locations in our computer inventory system.
  • Keep all publication storage areas dust free and clean. Making sure all clutter and debris is not left in work areas. Includes breaking down boxes and taking them out to the recycling bin.
  • Ensure that off-site storage location is organized and clean as listed above, also requires moving boxes of publications around for easy access. These boxes can weigh up to 50 pounds each.
    Work with Distribution Manager on low stock inventory
  • Monitor publication inventory, and notify Distribution Center Manager when the stock of publications become low.
  • Order more inventory as directed by Distribution Manager.
    Process and count-in shipments of publications
  • Processing incoming publication inventory.
  • Un-boxing publications and counting them, banding them with rubber bands in the appropriate quantities.
  • Shelving publications and boxing any overflow stock.
  • Arrange for off-site storage as needed.
  • Provide copies of publications for distribution in field office mailings.

ORDER FULFILLMENT & SHIPPING

  • Ensure orders from the online store are processed in a timely, accurate manner.
  • Keep detailed records, using the online store software, regarding quantity shipped, date shipped and other order details.
  • Communicate with customers regarding order status, out of stock items, answering order questions as needed.
  • Pulling publications and other merchandise from the shelves.
  • Packaging and preparing for shipment, including large 4-H orders which often can take several large boxes.
  • Taking packages to post office for shipping, using appropriate billing information.
  • Manage subscriptions of recurring publications, such as Big Sky Small Acres Magazine, ensuring subscription orders are processed in a timely manner.
  • Coordinate, package and ship field office mailings as requested.

ON-DEMAND PUBLICATION PRINTING

  • Print MontGuides, fact sheets and other on-demand printing items as they are ordered. Includes formatting and sending jobs to the printer from computer.
  • Troubleshoot problems & paper jams with multi-function, high volume copier/printer.
  • Order supplies and schedule maintenance of printer as required.
    ADMINISTRATIVE SUPPORT & CUSTOMER SERVICE
  • Provide excellent customer service for customers via in-person, over the phone and using digital communication.
  • Order office supplies, merchandise, printing, and publications as required.
  • General office duties as assigned, including, filing, written correspondence, data entry, collate packets, publications & other information.
  • Communicate policies and procedures to our customers, as well as Extension faculty & staff.
Required Qualifications – Experience, Education, Knowledge & Skills
  1. Experience accurately maintaining detailed information.
  2. Experience managing many tasks and accomplishing them in a timely manner.
  3. Basic technology skills (please indicate computer programs used and how).
  4. Inventory management, administrative support or related experience.
  5. 2 years of inventory management, administrative support or related experience, or an equivalent combination of education and experience.
Preferred Qualifications – Experience, Education, Knowledge & Skills
  1. Knowledge of Extension and its publications.
  2. Bookstore or online retail sales experience
