General Statement

The Office of Student Engagement fosters meaningful engagement opportunities that challenge, support, and empower students to be leaders on campus, in the community, and beyond.

The Office of Student Engagement (OSE) is your HUB for involvement, leadership, events, programs and volunteer opportunities on and off campus. We are home to ASMSU, the student body government, who create real change on campus. OSE also supports the 250+ student organizations at MSU in addition to hosting great concerts, traditions, and events on campus throughout the school year. We also provide and connect students to meaningful community engagement opportunities. Whatever their passion, skills or interests, OSE is here to help students connected and engaged!


The Administrative Associate IV reports directly to the Director of the Office of Student Engagement and supports the student government association by performing a variety of high level of administrative, technical and bookkeeping/fiscal support as well as providing service excellence.

The person in this position is responsible for coordination of front office operations by orienting, leading and training students and provides seamless coverage and back-up of the day-to-day tasks and situations in the absence of other front office administrative staff. Because this position is highly visible and people-oriented, the person in this position must possess the skills to tactfully and diplomatically respond to a variety of clientele both internal and external to the Office of Student Engagement.

Duties and Responsibilities
  • Coordinate the daily operations of several busy offices:*
  • Support students, staff, and faculty in providing ASMSU and OSE services and special events
  • Provide excellent customer service
  • Manage office computers, supplies, and materials

Provide fiscal records support:

  • Assist with reconciling transactions
  • Prepare reports and documentation
  • Monitor expenses and spending requests

Offer professional administrative support:

  • Manage data entry, updates, and reporting
  • Assist with website maintenance, calendars, and outreach materials
  • Coordinate logistics for special events, travel arrangements, etc.
  • May serve on committees or attend committee meetings as a representative of ASMSU, OSE, or other Division of Student Service units as required.
Required Qualifications – Experience, Education, Knowledge & Skills
  1. Two years of post-secondary education
  2. Progressively responsible administrative/office management experience with an emphasis on fiscal management and customer service
  3. Demonstrated experience of accounting and budgeting principles, practices, and techniques including accounts payable and receivable.
  4. Demonstrated experience using personal computers and various software such as word processing, spreadsheets, database, presentation, email and internet. Microsoft Office software preferred (please list equipment and software used).
Preferred Qualifications – Experience, Education, Knowledge & Skills
  1. Demonstrated experience in supervision and providing guidance and training to students
  2. Knowledge of MSU procedures and policies or previous experience working in a higher education setting.
  3. Experience working with student organizations and facilitating campus and community events
  4. Knowledge of or ability to learn University systems including Banner, P-card & CAT Books.
The Successful Candidate Will
  • Demonstrated experience organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
  • Demonstrated experience maintaining, processing, and verifying detailed information with a high degree of accuracy and close attention to detail.
  • Knowledge of financial calculations and formulas, financial software, and strong math skills.
  • Ability to provide strong leadership in customer service and work ethic for all other employees and in all dealings with both external and internal customers.
  • Demonstrated ability to model professional behavior and collaborate with diverse programs and stakeholders and multiple offices.
  • Demonstrated ability to establish and maintain effective working relationships with multiple offices, co-workers, students, and the public in a team-oriented environment.
  • Demonstrated excellent verbal and written communication skills, in person and by telephone. Ability to maintain and/or learn to maintain a CMS website content.
  • Strong problem recognition and resolution skills.
  • Ability to exercise initiative and good judgment. Use intellectual analysis, and evaluation in solving complex operating problems and in interpreting and applying policies and procedures.
  • Ability to consider, work effectively, and respect diverse and alternative perspectives of staff and students.
  • Maintain confidentiality of records and information.
  • Represent the ASMSU, OSE, other Student Service units and MSU to others in a professional and courteous manner.
