Position Details

General Statement

The position is responsible for the identification, recording and reporting of multiple financial transactions for the museum. This includes the oversight of the cash receipts and cash disbursement processes and grants management.

The position will:

  • Ensure accurate and efficient daily processing of the museum’s cash receipt and disbursement transactions.
  • Assist the Director of Finance in meeting budgetary goals and ensuring the museum is in compliance with all board and MSU policies.
Duties and Responsibilities
  • Monitor, maintain, and reconcile various accounts and prepare vendor payments; ensure accuracy of account coding, data entry, and records
  • Analyze and interpret records and reports from software systems such as Point-of-Sale and Donor database; finalize transactions for inclusion in the General Ledger
  • Coordinate with and gather revenue activity data from departments for General Ledger and prepare daily bank deposit
  • Assist Director of Finance and other department heads with annual budget and financial reporting and compilation of data for ad hoc requests
  • Develop and implement a system to record and track Purchase Orders and employee travel advances; other duties as assigned
Required Qualifications – Experience, Education, Knowledge & Skills
  1. Demonstrated experience in applying accounting principles and processes to cash receipts and disbursements transactions to ensure proper recording in the GL system.
  2. Demonstrated experience providing critical fiscal support to an organization with multiple departments, including those with interactions with the public.
  3. Demonstrated experience in managing, monitoring and reconciling accounting records.
  4. Demonstrated proficiency with Microsoft Office software programs or similar applications.
  5. Bachelors Degree in Accounting or an equivalent combination of education and/or experience.
Preferred Qualifications – Experience, Education, Knowledge & Skills
  1. Knowledge of fund accounting and non-profit GAAP.
  2. Experience in the identification, processing and recording of donations, pledges and other non-profit revenues.
  3. Experience with computerized accounting systems; preferably fund accounting systems.
  4. Experience with preparing for and assisting with an annual financial statement audit.
